Receptionist

Job description

The Receptionist is the first point of contact for all customers and visitors, both on the phone and in person. This position must display an exemplary level of customer service at all times, in order to promote the positive and professional standards of Breitling USA. This position offers support at many levels within the organization as a team player for all departments.


Essential Duties and Job Responsibilities (include but are not limited to)

  • Answer all incoming phone calls through the main line, transfer to the appropriate person, and assist callers as needed. Distribute voicemails to appropriate parties.
  • Open and close the Reception area each day, turning on/off the phone system and television.
  • Serve visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately.
  • Monitor office supplies, ordering when needed, or when requests are made. Oversee contracted office supplies and work with supply vendors to keep costs down.
  • Keep the Reception area in pristine condition.
  • Enter customer information from registration cards into company database. Assist Marketing Department with Gold Card spreadsheet. File all registration cards and sort by date, reconciling to company database for accuracy.
  • Field customer inquiries regarding their registration status and receipt of Marketing promotional gifts.
  • Manage Encore list for multi-watch customers and send out list weekly to Marketing Department.
  • Manage duplicates list for multi-ID customers, including merging records and/or working with outside systems vendor to obtain clean records.
  • Manage all catalog requests as they come in and send out weekly to Focus Mailing.
  • Assist customers who call in with instructions on how to mail in watches for repair.
  • Create and update slides for electronic employee information board.
  • Work with IT department to ensure the proper phone greeting for incoming calls is in place (regular, holiday, etc.) when necessary.
  • Additional administrative tasks as requested in support of departments across the company.

Job requirements

Skills, Knowledge and Personal Attributes Required:

  • 1-year related experience
  • High School Diploma or equivalent
  • Strong communication skills, both written and verbal
  • Ability to organize, multi-task, prioritize, and work under pressure
  • Willingness to act as a true team player by offering support across departments
  • High level of professionalism. Ability to handle calls from difficult customers.
  • Proficient in MS Office programs (Word, Outlook, Excel, PowerPoint); aptitude for internal business management systems.
